Law firm consultation follow-up emails: what to say next

The consultation ends on friendly terms. The person says they will think about it, and someone creates a task called ‘follow up.’ When that task comes due, your employee has to decide what to write. Should they ask for a decision, resend the information or check a question with the attorney?

The answer depends on what happened in the meeting. Someone waiting for a document needs a different message from someone who asked for time. If both receive another ‘Are you ready to move forward?’, the firm may leave its own unfinished work untouched.

This guide helps your team choose and write the next email. The three fictional examples cover missing information, an agreed pause and no reply. They are wording to review and adapt with your firm, not tested messages or client results.

Answer what is still open

A useful consultation follow-up addresses what remains unresolved, uses approved information and gives one next step that fits the person’s response. Read the consultation note and recent messages before choosing a template.

Check whether the firm has sent everything it promised. If the attorney still needs to answer a question, that is an internal task. Asking the prospect for a decision will not finish it. If the person asked for time, use the contact arrangement they actually agreed to. If they have not replied, keep the reason unknown.

The examples below assume the firm has checked that this administrative contact is appropriate. They do not set a sending schedule. Replace names, dates and details with the record, and use your firm’s approved signature.

Example 1: they need information before deciding

Fictional situation: Lena asked how she would share documents if she hired the firm. The attorney asked the coordinator to send the approved portal guide. The coordinator has that guide and has checked its link.

Subject: The document guide you requested

Hi Lena, you asked how you would share documents with our team. Our approved guide explains how the client portal works: [link to guide]. You do not need to upload documents to read it. If you have trouble opening the guide, reply here and I can help.

The email names Lena’s question, supplies the promised material and gives her a way to report an access problem. It does not ask for a hiring decision before delivering the information she requested. The sentence about reading without uploading belongs only if that is how the firm’s guide works.

If the question instead concerns legal work, the coordinator needs the attorney’s answer. Do not fill the gap with an improvised explanation. A short update could say: ‘I have passed your question to [attorney]. I will update you by [agreed time].’ Use that promise only when someone is assigned and can meet it. Record the internal task as well as the outgoing email.

Example 2: they asked for time to decide

Fictional situation: Omar has the written information he requested. He asked the coordinator to email on November 12 after he had time to review it. There is no unresolved question in the note. The coordinator sends this on the agreed date.

Subject: Following up as agreed

Hi Omar, you asked me to email today after you had time to review the information from your consultation. Is there anything you would like us to clarify? If you would prefer more time or no further follow-up, please let me know.

The first sentence explains why the email arrived. The question leaves room for an answer other than ‘yes, I will hire you.’ It also lets Omar change the contact arrangement without having to explain his personal reasons.

Use the agreed channel as well as the date. An email agreement is not a reason to add calls and texts. If Omar asks for more time, record what he wants next. If he declines further follow-up, remove the ordinary sales reminders. Any legal deadline or necessary communication about representation goes to the responsible lawyer; this sample does not decide whether it is safe to wait.

Example 3: they have not replied

Fictional situation: Priya received the consultation summary the firm promised. There is no reply in the shared record. Staff check for messages received elsewhere, a delivery failure and any request to stop contact. Under the firm’s approved policy, one administrative check is appropriate in this situation.

Subject: Your consultation summary

Hi Priya, I sent the summary you requested on [date]. Were you able to open it? If you need help accessing it, reply here. If you do not want further follow-up about hiring our firm, please let me know.

This asks about access to something already requested. It does not pretend to know why Priya has been quiet or suggest that her opportunity is about to disappear. Do not attach sensitive material again without checking the recipient and the firm’s approved way of sharing it.

No reply still leaves the outcome unknown. Follow the firm’s approved review and closure process rather than letting reminders continue indefinitely. A reply should change the task: an access problem needs help, a legal question needs an attorney and a request to stop needs the sales reminders stopped. A lawyer handles any required non-engagement or deadline communication.

Set the boundaries before staff send

Give staff approved wording for routine logistics and a named reviewer for legal questions, changes to scope or fees, and promises about results. ABA Model Rule 5.3 addresses lawyers’ responsibilities for nonlawyer work; it does not require individual approval of every administrative email. These are model rules, so your lawyers should set the policy under the rules that apply to your firm.

Check the recipient, keep sensitive details out of subject lines and avoid unnecessary recipients. Model Rule 1.18(b) restricts use or disclosure of information learned from prospective clients even without a later engagement, subject to its stated exception.

Use the agreed contact arrangement and stop ordinary sales reminders when asked. Comments 1 and 6 to Model Rule 7.3 distinguish responses to information requests from solicitation and address prohibited solicitation involving harassment or a known wish not to be solicited. They do not authorize unlimited follow-up.

Use one row for each check. If an answer is missing, name who will resolve it before sending. The worksheet checks whether this message is ready; it does not require the prospect to be ready to hire.

Let the reply change the next task

Continue Lena’s fictional example. She replies: ‘The guide opens, but I have a question about which records the attorney would need from my previous application.’ The coordinator records her words and routes the question to the designated attorney. The portal-access task is complete; the new question is still open.

A useful task note would read: ‘Lena can access the guide. Attorney review needed on requested records. Assigned to [name], update due [agreed date and time]. Hold hiring-decision reminder while the firm prepares its answer.’ The assigned person and due time must be real entries before the task is saved.

At your next team review, read one recent follow-up email beside its consultation note and reply. Check whether the message did the job the record called for, then choose one change for staff to practice.
